Refund & Reissue Policy

We want you to be confident ordering from us. This policy explains exactly when you can get a refund and when you get a free reissue. It forms part of our Terms of Service.

Our free-reissue guarantee: If an embassy, consulate, or immigration official rejects the letter itself because of an error by the issuing institution — a mistake in the letter's content, signature, letterhead, or institution details — we reissue a corrected letter free of charge, typically within 24 hours. If we cannot correct and reissue, you get a full refund.

1. When You Get a Full Refund

  • Before drafting begins — cancel any order before our drafting team starts work and you receive a 100% refund. No questions asked.
  • Issuer error we can't fix — if the letter itself is rejected due to an error by the issuing institution and we cannot reissue a corrected letter, you receive a full refund.
  • Service failure — if we fail to deliver your letter at all and cannot resolve the issue within a reasonable time, you receive a full refund.

2. When You Get a Partial Refund

  • After drafting begins, before delivery — if you cancel after work has started but before your letter is delivered, we may retain a fee covering work already performed (typically up to 50% of the order value).
  • Scope reduction — if we agreed a Full Visa File and you only need the letter, we refund the difference in plan price.

3. When There Is No Refund

Visa refusal is not grounds for a refund. A visa application involves many requirements — funds, passport validity, travel history, and embassy discretion. A letter is supporting documentation; it does not guarantee approval. We do not refund if your visa is refused for reasons unrelated to the letter itself.
  • Visa refusal for other reasons — embassy discretion, missing non-letter requirements, ineligibility, or changed policies.
  • False information — if we cancel an order because you provided false information, no refund is due.
  • Misuse — if a letter is used for a purpose other than that stated at order time, or altered in any way.
  • Completed delivery — once a correct letter has been delivered, the order is complete; refunds apply only under the conditions above.

4. How to Request a Refund or Reissue

  1. Email [email protected] with your case reference (VL-XXXXX), your order details, and — for a reissue — the official rejection notice or the specific error identified.
  2. We respond within 1 business day.
  3. Approved refunds are processed to the original payment method within 5–10 business days, depending on your bank or card issuer.

5. Reissue Details

  • Reissues are free when the error is attributable to the issuing institution or our process.
  • Reissues are not available when the rejection is based on content that you provided (e.g., incorrect personal details you supplied). In that case, a corrected letter can be drafted as a new order, and we'll work with you to avoid a repeat.
  • Each letter's verification reference remains valid; a reissued letter gets a new reference where appropriate.
